Defining a promotion is creating an offer for the customer with a buying condition  which when fulfilled can get the customers good deals from their purchase. Promotions must be defined after the creation of assortments and then allocated to various sites for them to become applicable. The buying conditions imposed can be of buying goods in some specific quantity or of specific value and the benefits gained by customers can be of various forms like cash discounts, and free goods etc in different forms.

Types of Promotions

In GINESYS, both Item level promotions as well as whole bill level promotions can be defined. Whole bill level promotion can be specified only with Slab-wise benefit but Item level promotions can be defined in 3 forms i.e. Quantity based simple benefit, Quantity based slab-wise benefit and Value based slab-wise benefit.

Note: Same promotion can be run multiple times at different periods.

This article describes how to define promotions.

Prerequisites

  1. The users' role must have access to the Definition feature by enabling Add app operation for the feature in Admin - Security - User - Role through POS Manager - Promotion - Manage.

  2. Assortment needs to be created.

The steps are as follows:

  1. Go to POS Manager > Promotions > Definition.

  2. The Promotion Definition module opens.

  3. Click on the Add button.

  4. The Promotion Definition window opens.

  5. Fill in the details especially those marked as Mandatory like Name and Applicability etc.

  6. The Promo no. is the number, assigned to the promotion being defined. It is auto-populated on saving the definition. It remains blank in the beginning.

  7. The Description field is optional, carrying any extra details needed for the identification of the promotion.

  8. You have the option of providing the media through which the promotional offers will be advertised to the general public.

  9. Applicability shows whether the promotion being defined will be applicable on each item or the bill as a whole. For example, a user may define promotions in the following way -

    1. Here two promotions have been separately applied -
      1. 10% discount on Item A
      2. 10% discount on the gross total value of the bill.


  10. Now provide the Promotion Type -

    This is the most basic yet versatile type of promotion; here the end customer buys definite quantity of items from one or multiple assortments and gets a specific benefit. The benefit can be a discount percentage or a fixed amount on same or different items.

    There are 3 types of buying conditions that can be specified for Quantity based simple benefit -

    • Buy any < specific user defined > quantity from Assortment
    • Buy any < specific quantity in Item ratio > from Assortment
    • Buy any quantity from Assortment

    E.g.

    • On buying any 2 items from Assortment Shirts; customer gets a 30% discount on the total price.
    • Or on buying 3 items from Assortment Miscellaneous, get a 500 off.
    • Or on buying any 2 items from Assortment Shirts and any 1 item from Assortment Jeans get a 50% discount on the total price.
    • Or on buying any number of items from Assortment Miscellaneous, get flat discount of 20% discount on the total price

    Here the retail buyers purchases quantities of items from one or multiple assortments in different slabs and can enjoy varied benefits for each slabs, depending on the quantity of items bought.

    Here after one has selected the assortments, the slabs have to defined with From and To quantities. From and To quantities can be same.


    Here different slabs based on value of promotional items can be defined, then the customer gets different benefits based on those slabs.

    Here after one has selected the assortments, the slabs have to defined with From and To values.

    This is the only type of promotion applicable on both whole bill and item wise promotion.



  11. Determine if you would Charge tax extra for all discounted promotional items by selecting the checkbox.

    If checked, tax will be charged extra on all discounted promotional items.

    This option is enabled only for promotions applicable on each line item.

    E.g. If there are 2 items in a POS bill which have been discounted through the promotion, but there is another promotional item on which the promotion was not resolved; then the extra tax will be applicable on the 2 discounted promotional items and not on the other unresolved promotional item.


  12. Check the Display Area for a summary of the promotion in a readable format. Both promotion condition and benefits will be displayed.

  13. The Show Items button  displays the items included in the selected promotion and also the items excluded in the promotion.

    Note: The elements in the Applicable Items section are those items which are part of the selected assortments barring those that have been mentioned in Excluded Items.

    The items in the Excluded Items section are those that are explicitly excluded from the selected assortments for application of the particular promotion.

    Changes Required

    In Item Information block,

  14. Then Save and Close the promotion definition.
