The ERP users and their roles are created and managed in the Admin module at the ERP level. This article shows how to add, edit, and delete ERP Users in Ginesys ERP.

Step-by-step guide

The following steps are to be executed:

  1. Go to Admin - Security - User - Users.

  2. Users module opens.

  3. Click

on

  2. User window will open.

  3. You will get two sections - User Information and Tag Site.

  4. User Information: Put in the User No., Name, Login Name, Password, Menu Role,Profile (all these are mandatory fields). There are other fields like Report Role, Profile etc. The

    titleLock days define the number of days for which the user can make a back dated entry, i.e. if the lock days for an user is 2 days and his system date is 31/12/2017; then he can make a back dated entry upto 29/12/2017 only. He cannot make an entry for 28/12/2017 unless he modifies his system date.

    Lock Days

    assigned to each Ginesys user can be seen from the list view of the User master, without opening each record individually.

    Tip

    The Login Name and Password from which you are creating the new user, will be populated automatically. You will need to change it and provide new Name and Password.

    If strong password has been enforced, password must be -

    • Minimum 8 characters required
    • At least 1 uppercase alphabet [A-Z] required
    • At least 1 lowercase alphabet [a-z] required
    • At least 1 digit [0-9] required
    • At least 1 Non-alphanumeric [~!@#$%^&*_-+=`|\(){}[]:;"'<>,.?] character required
      Note: Front slash(/) and Space key are not allowed as password characters.


  2. If you select the Is API User, the API Key will be generated by clicking on the Generate Key button. 

    Tip

    Note: This feature is only enabled in the Add mode.


  3. Tag Site:

    1. Select the Sites which the user can access from Available Site section.

    2. Click on the right arrow to shift the selected site to the Assigned Site section.

      Tip
      titleUnmanaged Site Allocation
      1. The unmanaged sites cannot login to Ginesys Web. Only the organization sites, managed sites (including the track secondary sites) are able to login to Ginesys Web.
      2. Allocation of only unmanaged site is not allowed. At least one, of either Organization or Managed sites, needs to be allocated.
      3. Un-Managed site cannot be made a default site.


      Tip
      titleApplicability of default site assigned to a user

      Note: Menu and app operations available to the user would be dependent on the default site assigned to him. Many of the ERP modules may not be available to him if he's not assigned an organization site as default site.


  4. Click on the Save & Close button to save the new user.

Prerequisites

Step-by-step guide

The following steps are to be executed:

  1. Go to Admin - Security - User - Users.

  2. Users module opens.

  3. Double click on the user you want to modify. 

  4. User window will open populating all the records. 

  5. You cannot modify the User No.

    Tip

    Note: You cannot modify the Is API User in the Edit Mode. 


  6. Modify the records as per your requirement. 

  7. Click on the Save & Close button to save the modifies data.

Prerequisites

Step-by-step guide

The following steps are to be executed:

  1. Go to Admin - Security - User - Users.

  2. Users module opens.

  3. Select one user you want to delete. 

  4. Go to Action > Delete.

  5. "Are you sure you want to delete current Record?" - this message will be displayed. 

  6. If you click

on 
  1. on Yes, then the role will be deleted permanently and you will get a message - "Record deleted successfully".

    If any referential records exists with the user, you cannot delete that user. You can only extinct that user.
