Stock is the amount of goods available with an organization for disbursal to sites. Stock Reservation is simply asking the warehouse to set aside items for future use, like sales or transfers. It guarantees stock availability when needed later on.

If this disbursal is against orders, it was often found that an X amount of stock which should have gone to Site A was mistakenly sent to Site B and consequently Site A's order could not be honored on time. Stock Reservation feature in GINESYS allows its users, to block the stock against an order.

Step-by-step guide

The steps are as follows:

  1. Go

to 
  1. to Ginesys Web - Inventory - WMS - Transactions - Stock Reservation. This will open

the

  2. Click on

  2. Fill in the search criteria section. You may choose from the criteria like - Date From, Order Type, Site Type, Pending Qty. From, Site and Customer

  3. Once done, click on the Search button.

    If you click on the Search button without providing any of the above mentioned criteria, then the system will display all available orders in the Order Details section.


  4. Select Image Modified the order you want to reserve and double click on it. This will open the Stock Reservation- Order Wise window and

  2. In the Reserve Qty column, enter the amount you want to reserve.

  3. Then click on the Reserve button.

    titleBatch/Serial Impact

    While 'item managed' items will not have any change in Stock Reservation workflow, 'Batch/Serial managed' items if selected in order will show the following changes.


    1. All the batches present in WMS Stock point for the owner site will be considered.

    2. Applicable batches will be identified based on the site batch selection process.

    3. When single bin is applicable it will be reserved. Otherwise resolve bins based on the selected batches according to Picklist rule as defined in site master or reservation form (as the case may be).

    Point to Remember
    If expiry is not managed at batch level, then also below mentioned rule will be followed. Reason being, it will allow the user to manage dispatch based on aging i.e oldest stock could be cleared first date wise(Mainly in case of apparels where there is no expiry).

    According to Batch selection process mentioned in connected Site,

    • FEFO - Resolution of batch should be in the below mentioned sequence,

      • On the basis of Expiry- EXP_DATE to be in ASC order

      • On the basis of Mfg. date - MFG_DATE in ASC order

      • On the basis of batch creation date- batch created date in ASC date

    • LEFO - Resolution of batch in the below mentioned sequence

      • On the basis of Expiry- EXP_DATE to in DEC order

      • On the basis of Mfg. date - MFG_DATE in DEC order

      • On the basis of batch creation date- batch creation date in DEC order

    • Post resolution of batches, select bins as per user defined pick list rule or bin filter

    • Eg. Consider the below data for resolution of batch. Reservation is to be made for 80 quantity of item-a which is batch managed.

      • Batch/22/6 will be considered first as it has nearest expiry date. Qty reserved-20

      • Batch/22/3 will be considered 2nd as it has nearer expiry than rest of other batch. total reserved-20+14=34

      • Batch/22/2 will be considered next. As batch/22/1 & 2 same expiry and Mfg. dates but creation date of latter is lesser creation date so it will be prioritized . Total reserved-34+21=55

      • Batch/22/1 will be considered next as discussed above. Total reserved- 55+10=65

      • Batch/22/5 will be considered next, as per expiry. Total reserved 65+15=80

    • If selected order item having inventory management= serial managed

      • Reserve item & bin wise [Do not reserve serial wise]

    • No change in Bin filter behavior and it’s validations.

    • Stocks to be managed item wise, batch/serial wise & bin wise.

    New columns have been added

    1. Column Name - Item Management -To the right of item detail called Item Management. It will display whether an item is item managed or Batch/Serial managed.
    2. Column Name - Expired Stock - To the right of Available Stock, it will display display expired quantity of the item in the respective row. Stock considered will be available in WMS Stock Point of Connected Site.

    Change in the behaviour of ‘Reserve Quantity’ column

    Quantity should be less than equal to the value of ( available quantity- expired quantity). If the value is greater, then provide row level error with the following tooltip,
    Tooltip: Quantity exceeding effective available quantity (Available Stock- Expired Stock).

    EDIT/VIEW RESERVATION

    New column has been introduced in grid of ‘Item and bin detail' in edit reservation

    • Batch/Serial No. [Display only] [Purpose- Display batch/serial No. of the item in the bin][Default View- Hidden][Can hide-Yes]

    • Valid Up to - It is a Display only column. It will display item wise-batch/serial wise expiry date, can be hidden and not display by default.
      Note: In case no value is there, for serial applicable item/rows the columns will not display zero.

Steps

  1. Select a stock reservation record and click the Edit option (from the Action menu) or double click on it. It will open the Edit Stock Reservation window, which is similar to the New Reservation - Stock Reservation window.

  2. You cannot edit any of the details in the window, except for

the 
  1. the Reservation Remarks

 field
  1.  field. Rest of the fields are view only.

  2. Once done, click on the Save button.

title Cancel Stock Reservation

The Simplified and automated flow for Stock Reservation cancellation

Scenario wise explanation is mentioned below:

  • Scenario 1 - Cancellation before pick list creation

    • Previous flow: Go to reservation list view, select the reservation, click on cancel and do the cancellation as required.

    • New flow:

      • It’s exactly same as previous flow.

      • Only difference is that the cancel reservation window UI has been changed.
        User will have to go to the tab “Available to cancel“ in the reservation cancellation window.

  • Scenario 2 - Cancellation after pick list creation (but not picked/cancelled)

    • Previous flow: Cancel picklist, then cancel reservation (scenario 1).

    • New flow:

      • It’s exactly same as previous flow.

      • Only difference is that the cancel reservation window UI has been changed. User will have to go to the tab “Available to cancel“ in the reservation cancellation window.
        Note: If the picklist is not cancelled / confirmed, the pick list is considered in a “WIP” stage. So the pick list details will be shown in the reservation cancellation window’s “Pick list in-progress“ tab. The user will first need to cancel the pick list and then proceed with reservation cancellation. We have not automated this due to the fact that pick list might be in the floor and can create operational bottlenecking.

  • Scenario 3 - Cancellation after pick list creation and confirmed

    • Previous flow: Reduce pick list confirm quantity, cancel pick list, cancel reservation (scenario 1), do Take Away (to move to floor), do Put Away

    • New flow:

      • We have automated the entire previous flow and restricted the reduction of pick list confirm quantity (due to movement to pack bin).

      • Now the user just need to visit the reservation screen, select the reservation and click on cancel.

      • The user will then need to visit the tab “Confirmed Picklist“, provide quantity to be cancelled and click on “free stock”.

      • The following will get recorded in the system automatically: Pick list confirm cancellation, pick list cancellation, reservation cancellation and movement of stock to floor stockpoint.

      • User can do Put Away to which ever bin is available.

  • Scenario 4 - Cancellation after pick list creation, confirmed and packed

    • Previous flow: Cancel packet, reduce pick list confirm qty, cancel pick list, cancel reservation, do Take Away (to move to floor), do Put Away

    • New flow:

      • Cancel packet

      • Then follow the new flow of Scenario 3.

Steps

  1. Select a stock reservation record and click on the Cancel option (from the Action menu). The Cancel Stock Reservation window opens.

  2. You can edit only 2 fields in this window. They are - Cancel Quantity and Cancellation Reason.

  3. If you want to cancel a particular item, then go to the Cancel Qty column and type in the number of items you are cancelling. If you want to cancel all the items, then use the Populate All button.

  4. You may provide a Cancellation Reason. Once done, then click on the Cancel Reservation button.

    Column (Batch/Serial No.) has been added in the available grids for the following mentioned tabs -  PICK LIST IN PROGRESS, AVAILABLE TO CANCEL, CONFIRMED PICK LIST. 

    • It is a Display only column, can be hidden and is not displayed by default.

    • On clicking the Free Reserve Stock button, Item wise, Batch/Serial wise cancel reservation occurs,

      While creating the Auto-Take Away entry Batch/Serial details are considered.

Steps

  1. Go to Inventory > WMS > Transactions > Stock Reservation.

  2. Go to Action > Cancel - For Cancelled Orders.

  3. Pending Reservation Cancellation window will be opened.

  4. There will be 3 tabs - Pick List in Progress , Available to Cancel & Confirmed Pick List.

    1. Pick List in Progress - It is a view page only. Here you can see Reservation No, Order No, Pick List in Progress Quantity, Order Cancel Quantity etc.

    2. Available to Cancel -

      1. Here you will get the information like - Reservation No, Order No, Item Quantity, Reserved Quantity, Reservation Cancellable Quantity, Reservation Cancel Quantity. Here user can only

modify Reservation
      1. modify Reservation Cancel Quantity.

      2. Then click on Free Reserved Stock and a confirmation message will be popped up - "Reservation Stock once freed cannot be retrieved.

      1.  Do you want to proceed?"

      2. If you click Yes then the stock will be free.

    1. Confirmed Pick List - 

      1. Here you will get the information like - Reservation No, Order No, Item Quantity, Reserved Quantity, Cancellable Quantity, Cancel Quantity. Here user can only

      2. Then click on Cancel Reservation and a confirmation message will be popped up - "I confirm that, I have moved the selected item’s stock from packing area to the floor area."

      3. If you click Yes then the stock will be free.
