How To: Create Petty Cash Bill


Petty cash bills are generated in POS to handle day to day running expenses and adhoc receivables. This article describes how to create a Petty Cash Bill.

Pre-requisites

  1. The users' role must have access to the Petty Cash features by enabling the Add app operation for the feature in Admin - Role - User Role - User's role (Cashier etc) - Access Rights - Back Office - Transaction.

  2. Petty cash heads must be created and synced from HO.

  3. Petty Cash bill amount should contain values more than zero.

  4. Providing Remarks for the petty cash bill is mandatory.

    Remarks cannot be more than 500 characters in length.

Step-by-step guide

The process is divided in the following steps:

  1. Go to Back Office> Transactions> Petty Cash. The Petty Cash module opens.



  2. Click on Add. The Petty Cash Bill window appears.

  3. Click on the Browse button beside the Account field. Petty Cash Head Lookup window opens. Choose your payment type.

  4. Click on OK.

  5. Select Petty Cash Head type.

    Petty Cash can be of two types:

    a. Payment - This is to be selected when money has been spent for secondary activities of POS like maintenance, etc.

    b. Receipt - This is to be selected when money has been received due to secondary activities of POS like selling of trash, return/adjustment of extra payment on utilities, etc.

  6. Enter Reference Doc no. like memo number or receipts and Date.

  7. Enter Remarks for the bill.

  8. Enter Amount.

  9. Click on OK.

  10. Petty Cash Transaction No. <Petty Cash no.> generated successfully - message is displayed. Click on OK.

  11. A dialog box appears asking if you want to print the bill.  If you want to print the bill, then click Yes or otherwise click on No.

  12. Click on Cancel.

  13. Another dialog box appears asking if you want to discard the changes. If you want to discard the changes, then click Yes or otherwise click on No.

  14. The Petty Cash bill will be added to the list view.

  15. Now sync at POS.

  16. Sync at HO.

Note: Session Tracking is enabled for Petty Cash.
