Delivery Challan FAQ

The new version of Delivery Challan (DC) has come along with some major changes to enhance performance and ease of use in Ginesys HO Version 12.1.0. This article attempts to answer your queries in a precise and concise manner. Please note, that it is an ongoing work based on consumer queries and our own research.

There are various scenarios explained below related to update of Delivery Challan (DC) through Auto Update:


I could not find Delivery Challan module in Ginesys Desktop. What should I do?

Solution: The entire Delivery Challan module has now been shifted to Ginesys Web from the desktop application from Ginesys HO version 12.1.0 . You will find the Delivery Challan - Adhoc / Against Order / Against Reservation separately in Ginesys Web > Sales & Distribution > Operations > Packing.


Will all the App Operations get allocated as before?

Cancel, Print and Print Barcode have been introduced for Delivery Web module. The previous App Operations - Add, Edit and Delete, remain same.


Will all the Profile Security get allocated as before?

There is no change in Profile Security. All remain same as before. 



I cannot select items other than direct barcode scanning in DC- Adhoc. What should I do?

Path will be - Admin > Security > User Profile > Add / Edit > Sales & Distribution > 


Can I change Destination Site after item selection?

If you try to change the destination site after item selection, you will get a message - "Please remove the selected orders before changing the site.". Click on OK and remove the selected item(s) from the Item Information section. Then you can change the Destination Site. 


How Can I select set wise items in DC-Adhoc / Against Order / Against Reservation?

If you want to select item set wise, then you need to follow the process given below:

  1. Delivery - Adhoc : If you want to select set wise item in Delivery - Adhoc, change the Scan toggle button to Set in the Quick Item Selection section and put in the Set Barcode. The selected set will be populated in the Item Information section.

  2. Delivery - Against Order : If you want to select set wise item in Delivery - Against Order, then after selecting Sales Order, you can follow the same process as Delivery - Adhoc for Quick Scan. You can also select Set barcode in the Select Order Items mode same as Quick Scan. You will get the option of direct set barcode scanning in the FIFO and Alternate mode also. 

  3. Delivery - Against Reservation : Same as Delivery - Against Order. Only Alternate mode is not present here.


Can I view item details while receiving Set wise order?

Yes, you can view item details while receiving Set wise order by clicking on the expander beside the selected Set in the Item Information section. 


Can I scan both Item Barcode and Set Barcode in same challan?

Yes, you can select both both Item Barcode and Set Barcode in a same challan. 


What is Packet Barcode in General Section in DC?

In Ginesys, multiple Delivery Challans can be made against one Packet. That Packet Barcode automatically generated at the time of creating Delivery Challan. In the Packet Barcode first 3 characters are company code & last 5 characters are DCCODE.


I cannot find Online Packet Barcode Printing option after Ginesys Version Update. What should I do?

Online Packet Barcode Printing option has been removed from the Delivery Challan Web module. You will get Print Packet Barcode option in the Action menu.   


How can I select items against multiple order?

You can select items against multiple order in Delivery - Against Order through Quick Scan, Select Order Item, FIFO Mode and Alternate Mode.


I cannot find Advance Mode in DC-Against Order. What should I do?

The Advance Mode has been removed from the Delivery - Against Order Web module. You will get Select Order Item, FIFO Mode and Alternate Order items in Delivery - Against Order.


I cannot find Alternate (FIFO) Mode in DC-Against Order. What should I do?

The Alternate FIFO Mode has been removed from the Delivery - Against Order Web module. You will get Select Order Item, FIFO Mode and Alternate Order items in Delivery - Against Order.


I cannot find Allow Rate / Discount Change button. What should I do?

Allow Rate / Discount Change button has been removed from the DC Web module. Rate change is not allowed for Consignment mode in Delivery Challan. It should be Outright mode to change Rate. In Outright mode, if the Profile Setting Allow rate change in Delivery Challan is allowed in the user profile, then user can change the Rate in Delivery Challan. Click on the Price Details button to open Price Details window. You can also change Rate from this window. 


I cannot find View Rate button in DC – Against Order form. What should I do?

View Rate button has been removed from the DC web module. You will get Price Details button to open Price Details window. You can view Rate from this window. 


I cannot select items through Alternate Mode in DC – Against Order. What should I do?

You need to select Sales Order first, then select the item barcode present in the selected Sales Order. The item details will be populated in the particular field. The matching items will be populated by clicking on Search icon in the Matching Delivery Items section. 


What is the function of Assign Qty in DC – FIFO Mode?

You can provide the delivery quantity of the item and assign it. The provided quantity will populate in the Delivery Qty, field. 


What is the difference between Order Wise Item and Item Wise Order mode?

Order Wise Item: When you select Order wise Item, then you need to select order first. Then all the pending items, present in the selected order, will be populated. 

Item Wise Order: When you select Item wise Order, then you need to select item first. Then all the pending order in which the selected item is present, will be populated. 


Can I use different mode for item selection in one DC-Against Order?

Yes, you can use different mode for item selection in one DC-Against Order



Can I create Mixed DC in Ginesys Web?

No, you cannot create Mixed DC in Ginesys Web. DC- Adhoc, DC- Against Order and DC- Against Reservation are in separate form.


What is Mixed DC?

Mixed DC concept is not present in Delivery Challan Web module.


Can I define User Defined Fields in DC – Adhoc / Against Order / Against Reservation?

Yes, you can define User Defined Field in DC – Adhoc / Against Order / Against Reservation.

Path will be - admin > Utilities > Manage > User Defined Fields (UDF)



Can I create a DC against sales order in DC- Against reservation?

Yes, you can create a DC - Against Sales Order in DC - Against Reservation through Select Order Item mode.



Can I get details summary of DC in Web Module?

Yes, you will get details summary of DC in web module by opening Open Side Panel.


Can I remove or modify default filter for Last 7 days?

Yes, you can modify or remove Default Filter for Last 7 days.


What will be default Invoice date for DC in Web module?

The System Date will be default invoice date for DC Web module. 


Can I remove items in edit mode?

Yes, you can remove items in edit mode. 


How can I print DC from web module?

Either you can print DC through Print Preference or go to Action > Print to print DC.


Can I Print Barcode from DC web module?

Yes, you can print Barcode from DC Web module. Either you can print Barcode through Print Preference or go to Action > Print Barcode to print DC.


Can I generate sales invoice or transfer out automatically from DC web module?

Yes, you can generate Sales Invoice or Transfer Out automatically if the user profile settings - Allow Auto Creation of Sales Invoice and Transfer Out is selected.


I cannot find Delivery Challan Cancellation form after update Ginesys Application Version. How can I Cancel DC?

Delivery Challan Cancellation form has been removed from the DC Web module. If you want to cancel Delivery Challan, go to Action > Cancel Challan. You need to enable the Cancel app operation to access the Cancel option from Action menu. 


Can I delete DC permanently from web module?

Yes, you can delete DC permanently if the DC is not tagged with the Sales Invoice or Transfer Out.


How can I print Document Report or Packet Barcode automatically on save of challan?

You need to select Open Print Dialog in Action on Save section of Print Preference to print packet barcode automatically on save.


Can I print both Document and Packet Barcode simultaneously on saving of challan?

No, you cannot print Packet and Document Barcode simultaneously on saving of challan.


Can I print multiple document template while printing document on save?

No, you can print only one document template which is set in Print Preference, while printing document on save.


Which template of document report will get printed from list view print action?

The template, selected in the Print Preference, will get printed from list view print action.


Item Rate is not getting populated in some of the Delivery Challan. Why?

The Item Rate will not populate in the Consignment mode. 

If it is Outright mode and the Rate is not populating, then you need to check the user profile. If the profile setting - Allow rate change in Delivery Challan is not allowed in the profile, then the Rate will not populate in Delivery Challan. 


Where from item rate will get populated if items are populated from Copy Challan option?

Rate does not populate in case of items population from Copy Challan option.


What is source of item rate for Alternate item received in Delivery against Sales Order?

At first the Rate will be populated from the Price List. If the system does not find the Rate, then it will be populated from the Sales Order. If Rate is not available in the Sales Order, then it will be populated  from the Item Master. 


Some user is unable to modify rate, some unable to modify markup/down factor. Why?

Rate change is not allowed for Consignment mode in Delivery Challan. If it is Outright mode and you are unable to change Rate, then you need to check the user profile. If the Profile Setting Allow rate change in Delivery Challan is not allowed in the profile, then user cannot modify the Rate in Delivery Challan. 


Is modification of rate allowed for DC against order?

Rate change is not allowed for Consignment mode in Delivery Challan. It should be Outright mode to change Rate. If the Profile Setting Allow rate change in Delivery Challan is allowed in the profile, then user can modify the Rate in Delivery Challan. Click on the Price Details button to open Price Details window. You can change Rate from this window. 

Path will be - Admin > Security > User Profile > Add / Edit > Sales & Distribution > Allow rate change in Delivery Challan



Credit Limit validation is done for the Owner Site or Operating Unit or Organization Group?

Credit Limit Validation is done for Organization Group. 


Do I need to select Header information again and again for each packet?

No, you do not need to select header information again and again for each DC. Once you select the header information, it will remain same until you change it again. Under one header information you can create more than one DC.


Can I restrict delivery of an item repeatedly for a specific customer?

Yes, you can restrict delivery of an item repeatedly for a specific customer. You need to specify the days in user setting - Alert on scanning if Item is previously delivered within __ days.


Can we maintain same document number series if working on all three modes for DC?

Yes, you can maintain same document number series if working on all three modes for DC.
