Loyalty is a tool by which retailers try to ensure repeat purchases. It determines the value, earned by the customer through his initial purchase, which can be used by him to earn subsequent benefits. In other words, the most basic functionality of a loyalty program is to reward customers for making a purchase. Customers give the retailer their business, and retailers give them a percentage back as points to encourage them to stay loyal. The amount retailers give back is up to them. When retailers give a customer points, they are providing value with an associated cost.

This article is a collation of all actions that will enable creation and management of Loyalty through GINESYS:

 Add Loyalty Benefit

Loyalty Benefits are advantageous deal offered to the customers in return of continued patronage of the stores. These favors to the customers are provided in the shape of actual Discounts (Price Offs)  or points which when accrued can be redeemed for discounts on the items. The benefits that will be provided to the customer-members of the loyalty program are defined in Ginesys HO. The feature can be found at the following location in Ginesys HO - Ginesys Web - POS Manager - Loyalty - Configure - Benefit.

Prerequisites

The users' role must have access to the Benefit feature by enabling Add app operation for the feature in Admin - Security - Role.

Step-by-step guide

The following are steps necessary for creating Loyalty Benefits:

  1. Open the Benefit window.

  2. Click on the Add button to select the type of benefit you wish to create - Point Benefit or Discount benefit. Depending on your choice, steps are given below -

    1. Point Benefit - This is configured in Points, earned by customer while spending (buying) and burned (redeemed) by customer subsequent buying

      1. On selecting Point Benefit from the Add menu, the Point Benefit window opens.
      2. In the Benefit tab of the Point Benefit window, fill in the following details.

        1. Name for the benefit; Note - it is a mandatory field. (E.g. Regular, Special, Diwali Special etc.)
        2. Description (Eg. This is a benefit created  for regular members etc.)
        3. Now fill in the actual benefit - For every <Amount in Rs.> Rs. spent customer will earn <No. of points> points
          Every 
          <No. of points> points redemption is equivalent to <Amount in Rs.> Rs. cash off
        4. Enable OTP check box has to be selected for OTP validation at Store
      3. Exceptions tab allows to select items on which this particular loyalty benefit would not be applicable.
      4. Configure tab has two sections for applicability of the benefit and calculations of the loyalty point.
         
        1. Promotion and Customer Loyalty Exclusivity - Here you can define if you wish to apply a loyalty benefit over and above item and bill level promotions.
        2. Rounding the loyalty points earned - This determines how you will round off the decimals in the loyalty points accrued to your customers.

    2. Discount Benefit - This is configured in Currency. Discounts directly levied on an item at the time of buying.
       


      1. On selecting Discount Benefit from the Add menu, the Discount Benefit window opens.
      2. In the Benefit tab of the Point Benefit window, fill in the following details.
         
        1. Name for the benefit; Note - it is a mandatory field. (Eg. Regular, Special, Diwali Special etc.)
        2. Description (Eg. This is a benefit created  for regular members etc.)
        3. Now fill in the actual benefit - <Percentage of Discount to be allowed on application of this benefit>
        4. Enable OTP check box has to be selected for OTP validation at Store.
      3. Exceptions tab allows to select items on which this particular loyalty benefit would not be applicable.
      4. Configure tab has only one (1) section for applicability of the benefit.
         
        1. Promotion and Customer Loyalty Exclusivity - Here you can define if you wish to apply a loyalty benefit over and above item and bill level promotions.

  3. Click on Save & Close to save the details of the currently created loyalty benefit.



 Add Card Type

The customer can only be given the benefits associated with loyalty through Loyalty Cards. This article shows you how to add a Card Type in Ginesys HO.

The Card Type feature is available in Ginesys Web - POS Manager - Loyalty - Manage - Card Type.

Prerequisites

  1. The users' role must have access to the Card Type feature by enabling Add/Edit app operation for the feature in Admin - Security - Role.

  2. /wiki/spaces/PUB/pages/135987404 must exist.

Step-by-step guide

The following are steps necessary for adding Card Type:

  1. Go to Ginesys Web - POS Manager - Loyalty - Manage - Card Type. This opens the Card Type module.

  2. Click on the Add button to open the Card Type window.
  3. Fill in the following details -
    1. Provide a Name for the card type; it is a mandatory field.
    2. Card no. Generation Mode - Select how card numbers would be generated, Automatic or Manual.
    3. Fill in the details for Number Generation section-
      1. Name (i.e. Card name), 
      2. Description (i.e. when and why the Cards are to be issued - Festival period, Customers Special Day - any other detail), 
      3. Prefix 
      4. Suffix
      5. Auto Number Segment Length
      6. Padding Character (optional)
      7. Start From
      8. Sample Number

    4. Expiry information - Validity in Months <the number of months the card will stay valid>.

  4. Click on Save & Close.


How To: Edit Card Type

Step-by-Step Guide

  1. Double click on a card type.

  2. An edit window will open to edit the card type providing all the data associated with that particular card.

  3. Edit the data as per requirement.

  4. Click on Save & Close.

    Note: You can not edit the Generated card type. If you want to edit a generated card type then you will get a message "This card type can not be edited as the status of the card is generated".

 Generate Card for Ginesys POS

This article describes how to create cards for Ginesys POS.

Prerequisites

  1. The/wiki/spaces/PUB/pages/136708280 has to be created.

  2. The sites must be created.

  3. Both discount benefit and point benefit must be created.

  4. In HO, the users' role must have access to the Card Type feature by enabling Add / Edit app operation for the feature in Admin - Security - User - Role through POS Manager - Utilities - Setup - Configure.

Step-by-step guide

The steps are as follows:

  1. Go to POS Manager > Loyalty > Card Types. The available cards will be listed.

  2. Select any card. Click on Actions button.

  3. Click on Create Cards.

  4. Card Generation window will open. Card Type, Card Generation Mode, Sample Card Number, last Card number will be auto populated.

  5. You have to provide either discount benefit (Attach following discount benefit) or point benefit (Attach following point benefit) or both.

    Discount Benefit

    Point Benefit

    Benefit name  - Name of the Discount Benefit defined in the benefit form.

    Benefit name - Name of the Point Benefit defined in the benefit form.

    Discount - Discount amount avail by the customer.

    Rule – Rule for accrual of per unit point on the money spent by the owner of the card for purchases at the Ginesys user stores.

    Example: ₹100 = 10 Points which means that the customer earns 10 points for every Rs.100 billed at these stores.

    Effective from - Date from which the Point Benefit will be applicable. It should be the current date or any later date. It cannot be any past date.

    Effective from - Date from which the Discount Benefit will be applicable. It should be the current date or any later date. It cannot be any past date.

    Opening Point - The initial points provided with the card.

  6. Provide the number of cards to be generated.

  7. Select the Allocate To Site to allocate all generated cards to a particular site. This is entirely optional. 

  8. Sync from HO and POS, if you have already allocated cards. Otherwise allocate cards to different sites from the/wiki/spaces/PUB/pages/409468962 option in the Action menu.


 Allocate Card To Ginesys POS

This article describes how to Allocate Cards to Ginesys POS.

Prerequisites

  1. The card has to be created, tagged to some benefit and generated.

  2. The sites must be created.

  3. In HO, the users' role must have access to the Card Type feature by enabling Add / Edit app operation for the feature in Admin - Security - User - Role through POS Manager - Utilities - Setup - Configure.

Step-by-step guide

The steps are as follows:

  1. Go to POS Manager >Loyalty > Card Types. The available cards will be listed.

  2. Select any card. Click on Actions button.

  3. Click on Allocate Cards.

  4. Mass Allocation window will open.

  5. Put card Created Date range or Sequence range or Card Number and click on Find button. The list of cards will appear according to the search key. (The Card Type will be populated automatically).

  6. Select the generated cards to be allocated.

  7. Select the Allocate To Site to allocate cards.

  8. Click on Allocate button.

     

  9. The Card Allocated Successfully - message will be displayed.

  10. Sync both HO and POS.

  11. You can now issue the cards at the POS at the time of creating or editing customers.


 Manage Benefit

This article describes how to Manage Benefit.

Prerequisites

  1. The card has to be created, tagged to some benefit and generated.
  2. The members must be created.
  3. /wiki/spaces/PUB/pages/135987404 must exist.
  4. In HO, the users' role must have access to the Member feature by enabling Manage Benefit app operation for the feature in Admin - Security - User - Role through  DPOS Manager - Utilities - Setup - Configure.

Step-by-step guide

The steps are as follows:

  1. Go to POS Manager > Loyalty > Members. The available members will be listed.

  2. Select any member. Click on Actions button.

  3. Click on Manage Benefit.

  4. A window will open.

  5. Select Type of Benefit from drop down list - Point Benefit and Discount Benefit .

  6. Choose a Benefit from the drop down list based on Type of Benefit selection.
  7.  Now click on Add Benefit.

  8. Click on Upgrade Benefit button.

     

  9. Benefit Managed Successfully - message will be displayed.

  10. Sync both HO and POS.

  5. Then Sync from HO  to POS. 

  6. Convert customers to loyal ones is by collecting, organizing, and managing the customer information at the time of executing the sale or store visit. - How To: Add Customer at Store/POS Back Office.

  7. Convert an existing customer to loyal; one in time of editing the customer details. - How To: Manage Customer at the Store or How To: Manage the Customer through Store Control Menu in POS Back Office

  8. When a customer wants to redeem points accumulated on his Loyalty Card, it is done using a Redemption Token. - How To: Adjust a Redemption Token in Ginesys POS.

Note: Ginesys loyalty had a concept of Shadow Points implemented for proper handling of loyalty points. But some of our loyalty partners have a different system and do not employ the concept of shadow points. So now Ginesys has updated its POS process flow for smoothing the interface with third party loyalty providers. (From HO version 11.139.0 onward)
