How To: Operate the F4=Select Items button

The F4=Select Items button allows you to select item using 3 option - Search Criteria, Barcode Scanning and Speed Search

You can also open this feature by pressing the F4 shortcut key.

Step-by-step guide

The steps are as follows:

  1. Click on the F4=Select Items button (or press the F4 shortcut key). It opens the Select Item window.

  2. Select any one of the Item Selection ModeSearch Criteria, Barcode Scanning and Speed Search.

  3.  If you select, Search Criteria option:
    1. Go to any of the fields - Division, Section, Department, Article Name or Category 1- 6 and press the F2 key.
    2. Select the required value (division, section, department etc) from the list and click OK.
    3. Click on the Search button.

      If you want to clear your search, then click on the Clear Search button.

      If you want to import items using Excel, then click on the Import Excel button.

       How to use the Advanced Search button

      The Advanced Search button allows you to search the item using General, Price, Others, Inventory, Document or Additional

           General - This tab allows you to search for the item using general search criteria like Division, Section, Department, Category 1-6 etc.

           Price - This tab allows you to search for the item using the Price search criteria like Std. Rate Range, RSP Range, WSP RangeMSP Range etc.
                        It also allows you to search using POS Behavior like Allow Price Range, Select Multi Price Action and Edit Quantity and Price Popup.

           Others - Using the Others tab, you can search items using criteria like Suppliers Name, Tax Name, Creation Date, Modified Date, Short Name and also HSN Code.

           Inventory - Using the Inventory tab, you can search items using criteria like Barcode, Is Inventory Item, Negative Stock Alert Method, Unit of Measurement (UOM) and Expiry Date.

           Document - This tab helps you to search items using item source information like Document, Stock Point etc.

           Additional - Using this tab you can search for items using it's description (Description 1-6) and other numeric details (Num 1-3).

      Steps:

      1. Go to the desired criteria from any of the above mentioned tabs and press the F2 key.

      2. Select the required value from the window and click OK.

      3. Similarly use other criteria, if needed.

      4. Once all the criteria are selected, click on the Select Items button. The items will be populated in the Select Item window.

      5. Enter quantity beside the required items in the Quantity column.
  4.  If you select, Barcode Scanning option:
    1. Select the Add button beside the Scan Action field, before adding the items to the list.

      The Search option

      By default, the Add option remains selected but if you want to search if the item has been already added to the list, select the Search option.

    2. You can either manually type in the barcode in the Barcode field and press Enter or simply scan the barcode of the item using a RFID scanner.

    3. The items scanned will be added in the grid. You can enter the rate and quantity in the Rate and Quantity columns respectively.
  5.  If you select, Speed Search option:
    1. The Speed Search window appears. 

      Press F3 for Backspace, F4 to Close and F6 to toggle Search Type.

    2. Type in the barcode of the item. The item will be added to the grid.
  6. Once done, click on the Populate button.

  7. Once all items are populated, click on the Close button.

The Create similar item with different price button helps you to create new items but with different price on the go. To do so, follow the steps below:

  1. Select the required item and click on the Create similar item with different price button. It opens the Create Similar Item window.

  2. While the Division, Section, Department etc fields remain disabled, you can modify the fields that fall under the Changeable properties section (Short Name, OEM Barcode, Qty, Rate etc), the Category section (Category 1-6), the Numeric Detail section (Num 1-3) and the Description section (Description 1-6).

  3. Once done, click on Create Item and Populate.
