An OLAP Cube is a multidimensional view or temporary table that is optimized for data warehouse and online analytical processing (OLAP) applications. An OLAP Cube Manager is a tool for storing and reflecting data in a multidimensional form, generally for reporting purposes. 

The Cube Manager which was earlier brought to web has now been enhanced with several features as mentioned below.

  1. Cube with large data volume was taking time to refresh, and user during the period was restricted for any other work from the session. Now, cube created or refreshed will be submitted for an internal process to refresh data, enabling the user to proceed with other actions.

  2. Cube Name submitted for refresh will be highlighted in Yellow colour in list view, reflecting the state that cube refresh is ‘In progress’ and data reflected in reports while refresh is in progress will not be complete.
  3. Selection of more than one cube from list view to refresh at a time is not allowed. However, user can submit cubes for refresh, one after another, to queue it up for the process.

  4. Multiple cubes in some of the master cubes cannot be refreshed simultaneously. For example, Stock Movement Quantity, Stock Valuation and Stock Ageing.

  5. Status of the cube can now be seen through the Refresh Status option in the Action menu. The following status may be seen – In Progress, Cancel in progress and Inactive.

    Note: If a cube-set has been scheduled for Refresh and refreshing is cancelled for any cube belonging to this cube-set; all cubes, in the cube-set which were pending for refresh at the time of cancel, will also get cancelled. But any cubes already refreshed will stay refreshed.

  6. Now that the Refresh Status can be seen, cube refresh can be cancelled at any time, even while the refresh of that cube is in progress.

    Refresh cancellation by user

    Note – User can only cancel the refresh of a cube if he has submitted the cube for refresh or is a data administrator.

  7. The Show History action now has a status column and will show successfully completed, failed, and in progress refresh events.

The Cube Manager which was earlier brought to web has now been enhanced with user assignment. Before this update, users have been able to see and manipulate cubes from all modules; this created a possibility of unauthorized access of restricted reports. With this update user can be assigned with specific reporting data cubes, those are applicable with their departmental working.

  1. Assignment of master cubes can be either cube-wise or user-wise.

    Tip: When a master-cube is assigned to a user, all public cubes under that master cube will be automatically available to that user.

    When a single cube needs to be assigned to multiple users at one go the Cube-wise assignment can be done, but when a single user need to be assigned multiple cubes in multiple modules then the User-wise assignment can be done.

  2. The user with Administrator role of cube manager (defined in User Profile - Allow database cube as Administrator) can assign, unassign cubes to any user.

  3. Now users can only view and generate reports from cubes assigned to them according to their work roles. For Example, users assigned to master cube Stock Analysis Summary in Inventory module will be able to see only this cube or create private cubes under it. They will be unable to either view or create cubes for any other master cubes.

  4. The user can perform actions on those cubes, as allowed through their app operation privileges as per their designated roles.

In list view and Refresh Status only master cubes that have been assigned to the logged in user can be seen.


This article describes how to perform various actions of the Cube Manager in Ginesys HO. 


 Create OLAP Cube Manager

Pre-requisites

  1. The users' role must have access to the Cube Manager feature by enabling Add app operation for the feature through Admin - Utility - Manage - Cube Manager.
  2. Particular module for which the cube will be created, must be present.

Step-by-step guide

The steps are as follows:

  1. Go to Admin > Utility > Manage > Cube Manager.
  2. Cube Manager module opens.
  3. Click on Add button.
  4. OLAP Cube Manager window will open. 
  5. Fill the Cube Information section.
    1. Module: Select the module for which you are creating the cube. 
    2. Cube Master: Cube Master is the type of cube you want to create. Select the cube master from the drop down list.
    3. Cube Type: The selected cube master will be populated in the Cube Type field.
    4. Cube Name: Put in the Cube Name (Mandatory Field).
    5. Date From:  Date from which the cube will start working (Mandatory Field).  
    6. Date To: Date upto which the cube will work (Mandatory Field).
    7. As on Dated: Date on which a particular cube will work (Mandatory Field).

      Note: For particular combination of Module and Master Cube either Date From and Date To or As on Dated will be enabled.


    8. Description: You can put in the description of cube.
    9. Type: You can select the cube type either Private or Public. 
      1. Private: If you select Private then the cube will be visible to the particular user who have rights to access the respective module and the admin. 
      2. Public: If you select Public then the cube will be visible to all users who have rights to access the respective module. 
    10. Select the Site: Select either All Sites or Selected Sites. If you select All Sites option then the Assign Site section will be disabled. Otherwise you can select site which you want to assign for the cube. 
  6. Click on Save button to save the OLAP Cube Manager. 
 Edit OLAP Cube Manager

Pre-requisites

  1. The users' role must have access to the Cube Manager feature by enabling Modify app operation for the feature through Admin - Utility - Manage - Cube Manager.
  2. Cube must be created.

Step-by-step guide

The steps are as follows:

  1. Go to Admin > Utility > Manage > Cube Manager.
  2. Cube Manager module opens.
  3. Select one cube you want to edit.
  4. Go to Action > Edit or press CTRL+ALT+E..
  5. Edit OLAP Cube Manager window will open. 
  6. All the previously saved data will be populated. 
  7. Modify data as per your requirement except Module and Master Cube.  
  8. Click on Save button to save the modified data. 
 Refresh OLAP Cube Manager

Pre-requisites

  1. Cube must be created.

Step-by-step guide

The steps are as follows:

  1. Go to Admin > Utility > Manage > Cube Manager.
  2. Cube Manager module opens.
  3. Select one cube you want to Refresh.
  4. Go to Action > Refresh or press CTRL+ALT+R.
  5. Refresh Cube popup window opens showing a message - "Do you want to refresh Cubes?" .
  6. If you click on Yes, the refresh process will start and you will get the new update of the cube after completing the process. 
 Discard OLAP Cube Manager

Pre-requisites

  1. The users' role must have access to the Cube Manager feature by enabling Delete app operation for the feature through Admin - Utility - Manage - Cube Manager.
  2. Cube(s) must be created.

Step-by-step guide

The steps are as follows:

  1. Go to Admin > Utility > Manage > Cube Manager.
  2. Cube Manager module opens.
  3. Select one cube you want to Discard.
  4. Go to Action > Discard or press CTRL+ALT+D.
  5. Discard popup window opens showing a message - "Cube once discarded cannot be retrieved. Do you want to discard this cube?".
  6. If you click on Yes, the cube will be discard permanently. 
 Show History of OLAP Cube

Pre-requisites

  1. The users' role must have access to the Cube Manager feature by enabling Delete app operation for the feature through Admin - Utility - Manage - Cube Manager.
  2. Cube must be created.

Step-by-step guide

The steps are as follows:

  1. Go to Admin > Utility > Manage > Cube Manager.
  2. Cube Manager module opens.
  3. Select one cube you want to Discard.
  4. Go to Action > Show History or press CTRL+ALT+H.
  5. Cube Refresh History popup window will open. 
  6. You can search particular cube to check history.

    Only the last twenty cubes are displayed here.

 Manage Cubeset

Cube Set is a collection of cubes which can be manipulated together. 

Pre-requisites

  1. The users' role must have access to the Cube Manager feature by enabling app operation for the feature through Admin - Utility - Manage - Cube Manager.
  2. Cubes must be created.

Step-by-step guide

The steps are as follows:

  1. Go to Admin > Utility > Manage > Cube Manager.
  2. Cube Manager module opens.
  3. Go to Action > Cubeset or press CTRL+ALT+B.
  4. Cubeset Window will open.
     Add Cubeset
    1. Click on Add button
    2. Create Cubeset popup window will open. 
    3. Put in the Set Name (mandatory field).
    4. Date, Time fields remain disable. If you select the Schedule checkbox then Date, Time fields will be enabled (both are mandatory fields).
    5. Click on Create button to create the cubeset.
    6. The new cubeset will be created.
     Edit Cubeset
    1. Select the cubeset you want to edit.
    2. Go to Action > Edit.
    3. Edit Cubeset popup window will open. 
    4. All the data will be populated.
    5. Modify the records as per your requirement.
    6. Click on the Modify button to save the modified data.  
     Assign Cubes
    1. Select the cubeset in which you want to assign the cube. 
    2. Go to Action > Assign Cubes.
    3. Assign Cubeset popup window will open. 
    4. Select the Module and Cube Name.
    5. List of cubes under the selected master cube will be populated. 
    6. Select the cubes you want to assign to the cube set. 
    7. Click on the Add button to save the records.
     Remove Assign Cubes
    1. Select the cubeset in which you want to assign the cube. 
    2. Go to Action > Remove Assign Cubes.
    3. Remove Assign Cubes popup window will open.
    4. Cube Set and List of Cube of that cubeset will be populated. 
    5. Select the cubes you want to remove from the cube set. 
    6. Click on the Remove button to remove the cubes from the cubeset.
     Delete Cubeset
    1. Select the cubeset in which you want to delete.
    2. Go to Action > Delete.
    3. You will get a message - "Are you sure you want to delete current Record?"
    4. If you click on yes, the cubeset will be deleted.
 Remove from Cubeset

You can remove particular cube from the cubeset.

  2. Cube must be created.
  3. Cubeset must be created. 

Step-by-step guide

The steps are as follows:

  1. Go to Admin > Utility > Manage > Cube Manager.
  2. Cube Manager module opens.
  3. Select one cube you want to Remove from Cubeset
  4. Go to Action > Refresh Status or press CTRL+ALT+F.
  5. Refresh Status popup window will open. 
  6. Select the Cubeset from which you want to remove the selected cube.  

  7. Click on the Remove button to remove the selected cube.
