How To: Issue a Debit Note

Debit Note is a MOP for the store. This is issued when the customer buys products on credit from the retailer, that is when the customer owes the retailer money.  This article describes how to issue a Debit Note to a customer.

Pre-requisites

  1. The user must be allowed to create Debit Note - 'Allow to create Debit Note' app operation must be enabled for the user.

  2. Debit Notes must be allocated to the store through the Master Allocation in the HO.

  3. Items must be present in the bill.

Step-by-step guide

The steps are as follows:

  1. Add items to the bill.

  2. Tag a customer.

    Note: Customer tagging is mandatory in case of Debit Note.

  3. Tag a sales person (if made mandatory).

  4. Click on the Payment button or press F8 key. The Accept Payments window opens.

  5. If the customer is making some payment, use the appropriate MOP to accept the payment. For the unpaid amount, click on the Issue Debit Note and Save button. In case the customer leaves the full sum unpaid (i.e. he buys on 100% credit); then also you can issue a debit note.

  6. A window appears asking you to save the Debit Note issued. Give a proper name and save the document.

You can see the Debit Notes of a particular customer by running the Customer Outstanding Statement report in the Ginesys POS Back Office.
