Adding, Editing, Deleting & Printing Outgoing LR in Ginesys Web

When the supplier books the goods transfer with the transporter, the transporter provides the Logistic Receipt / Lorry Receipt containing the shipment information. How To: Manage Outgoing LR describes how to manage LR document in Ginesys HO. 

When the supplier books the goods transfer with the transporter, the transporter provides the Logistic Receipt / Lorry Receipt containing the shipment information. The supplier further transfers that LR to you to receive the goods. The transporter will provide the goods on providing the logistic receipt only. Once you receive the logistic receipt from the supplier with the invoice as couriered to you, you would have to create a logistic receipt in the system so that you can tag the LR with the Goods Receive Challan you will be doing. Similarly, in case of sales return, you would receive the LR copy from the customer in case he is returning the goods to receive them from the transporter.

 Add LR

Prerequisites 

  1. The users' role must have access to the Add app operation in the LR feature in Inventory - Logistics - Outgoing - LR module through Roles in Ginesys Web - Admin - Security.

Step-by-step guide

The process is divided in the following steps:

  1. Go to Inventory > Logistic > Outgoing > LR.

  2. Add - Outgoing Logistics window will open with the following sections - General, Transport Information, Charge Information and Others.
  3. The General section displays the following fields - 
    1. Owner site
    2. Entry No.(System Generated)
    3. Date
    4. Type
    5. Consignor (Optional incase of Type = Sales Return)
    6. Site (Applicable and mandatory only if Type = Sales Return)
    7. Transporter
    8. LR Document No.
    9. Date
    10. Station From
    11. Station To
    12. Mode
    13. LR Quantity
    14. Unit
    15. To Pay
  4. Optional Fields:
    • Invoice No.
    • Date
    • Remarks
    • Vehicle No.
    • Policy No.
    • Declared Amount
    • Others
    • Additional Information:
    • If 'To Pay' is set to 'YES', then
      • Either Charged Weight & Rate has to be provided 
        • Or , Other Charges has to be provided.
      • Total Amount cannot be zero.
    • If 'To Pay' is set to 'NO'
      • All these fields to get disabled
  5. Document Information:
    1. Entry No.: It will be generated automatically after saving the LR.
    2. Date: The System Date will be populated in this field.
    3. Select the Type of LR from the drop down list.
    4. Fill all others fields like Consignor, Transporter, Remarks etc.
    5. If you click on Online LR Barcode Printing, then the LR barcode will print automatically.
  6. Other Information: 
    1. Select the Mode like Road, Water or Air
    2. Select Destination and Source Station from the lookup window. 
    3. Select the Vehicle No., Policy No.
  7. Quantity Detail:   
    1. Put in the LR Qty and Unit of LR.
  8. Charge Information:
    1. Select To Pay - ether Yes or No.
    2. Put in the Actual Wt, Charged Wt, Rate etc.
    3. The Total Amount will be calculated and populated. 
  9. Permit Detail:
    1. Select the Permit No. from the lookup window and put in the Remark
  10. You will get the Get Entry Details, Received Details, Bales Summary, Issue / Cancellation Details in the respective tabs.  
  11. Click on the Save Icon () to save the LR document. 
 Edit LR

Prerequisites

  1. The users' role must have access to the LR feature in Inventory module by providing the level 4 Role Privilege to it in Admin – Security Settings – Role Privileges.
  2. LR must not be Received.

Step-by-step guide

The process is divided in the following steps:

  1. Go to Inventory > Logistic > Outgoing > LR.
  2. Outgoing - LR window will open.
  3. Select the Entry No. from the lookup window. 
  4. All the details will be populated.
  5. You cannot add or edit item in the Edit Mode. 
  6. Edit others details as per requirement.
  7. Click on the Save Icon () to save the modified LR document. 
 Delete LR

Prerequisites

  1. The users' role must have access to the LR feature in Inventory module by providing the level 4 Role Privilege to it in Admin – Security Settings – Role Privileges.
  2. LR must not be Received.

Step-by-step guide

The process is divided in the following steps:

  1. Go to Inventory > Logistic > Outgoing > LR.
  2. Outgoing - LR window will open.
  3. Select the Entry No. from the lookup window. 
  4. All the details will be populated.
  5. Click on the Delete Icon () to delete the LR.
 Print - Outgoing LR

Prerequisites

    1. The users' role must have access to the Print app operation in the LR feature in Inventory - Logistics - Outgoing - LR module through Roles in Ginesys Web - Admin - Security.
    2. LR must not be Received.

Step-by-step guide

The process is divided in the following steps:

  1. Go to Inventory > Logistic > Outgoing > LR.
  2. Outgoing - LR window will open.
  3. Select the Entry No. from the lookup window. 
  4. All the details will be populated.
  5. Click on the Print Preference.
  6. A window will be opened. Here Document will be seen and next select the printer option to print the Outgoing LR.
 Print Barcode - Outgoing LR

Prerequisites

  1. The users' role must have access to the Print app operation in the LR feature in Inventory - Logistics - Outgoing - LR module through Roles in Ginesys Web - Admin - Security.
  2. LR must not be Received.

Step-by-step guide

The process is divided in the following steps:

  1. Go to Inventory > Logistic > Outgoing > LR.
  2. Outgoing - LR window will open.
  3. Select the Entry No. from the lookup window. 
  4. Click on the Action Button beside Add button and select Print LR Barcode option.
  5. A popup window will be opened.
  6. From the Select Printer section a LOV of printers will be shown and the preferable printer option has to be selected.
  7. Click on the type option and choose Standard or Custom.
  8. Config name has to be chosen as config file of printer which will be provided by Printer company.
  9. Then the print quantity has to be chosen .
  10. Click on the Print button to print the Barcode of Outgoing LR.
  Delivery Date Reconciliation - Outgoing LR

Once the receiver has received the delivery, the invoice for transport services availed may have to be raised or the process of delivery may need to be closed. The Delivery Date Reconciliation document allows the user to provide closure to the Delivery process, tally the delivery details with the customer and transporter and raise the service invoice for the same. 

This article describe how to manage Delivery Date Reconciliation in Ginesys Inventory. 

The Delivery has to be ended from receiver side.


Prerequisites

  1.     a. The users' role must have access to the Reconciliation app operation in the LR feature in Inventory - Logistics - Outgoing - LR module through Roles in Ginesys Web - Admin - Security.

              b. LR must be Received.

  

Step-by-step guide

The process is divided in the following steps:

  1. Go to Inventory > Logistic > Outgoing > LR.
  2. Outgoing - LR List view will open.
  3. Click on the Action Button beside Add button and select Reconciliation option.
  4. A popup window will be opened.
  5. Search Criteria: 
    1. Select the document type from the drop down list. There will be 6 options in the drop down list -  All, S&D: Sales Invoice/Transfer Out, Procurement: Purchase Return, Production: WIP Material Transaction, Inventory: Stock Point Transfer, Miscellaneous.
    2. To narrow down the search process select Consignee(receiver), Site Name, Transporter, Date Range, Station From(From where the items are going), Station To(To which place the items are going).
    3. Now select Status from dropdown list where Delivered means the items is already delivered and Not Delivered means the delivery has been cancelled.
    4. Filter On field has two dropdown vales- LR Date, Document Date .LR Date means Reconciliation should be filtered based on LR Date and Document Date means that the reconciliation will be filtered based on the date of given document in the Document Type.
    5. Click on the Search button.
  6. Outgoing Logistic Details:
    1. Searched documents will be populated in the Outgoing Logistic Details section.
    2. You can only modify the Date and Remarks Fields.
    3. Modify the date as per your requirement.
  7. Delivery Date has to be given.
  8. If you click on the Show Transfer Document, all the transferred document will be listed of the particular document which has been selected from document type.
  9. Click on the Assignment button to assign the document with modified date. If  you want that the Outgoing LR of different dates should be on same date then you have choose the assign date.
  10. Click on the Save button to save the outgoing Delivery Date Reconciliation document. 

The type of Last Outgoing LR has been changed from 'Inventory : Miscellaneous' to 'Miscellaneous' from version 12.6.7 onwards.
