FAQs for Group Hierarchy

1. Can Group Hierarchy be Imported via Excel?

Ans - No. Group Hierarchy cannot be imported via Excel directly.


2. Can Group hierarchy be modified after Article creation in Bulk?

Ans - Yes, Group Hierarchy can be modified after Article Creation in Bulk. Users can open the Article in Edit mode and modify Department Name and according to that the Section and Division will be re-populated. After saving the entry Group Hierarchy will be automatically modified. Similarly, if you try to modify any other group (i.e. Section or Division), it cannot be done as those are auto-populated fields and manual entry is disabled there.

Article 1 can be identified as Gents - Upper - T-shirts and  Article 2  can be expressed as Ladies - Tops - Short top. Both have been created by Excel import. 

Now, the user can if he wants - open any of the articles individually and modify the Department (T-shirts / Short top) to some thing else and accordingly the respective Sections (i.e. Upper and Tops) will change to some other value and correspondingly the Division name (i.e. Gents and Ladies) would change.

However, the user cannot change Section or Division in the same.

3. Can we increase the Level of Group Hierarchy ?

Ans - No, level of the Group Hierarchy cannot be increased. However, we can transfer any particular Section to another Division and any Department to any other Section.

The user cannot raise T-shirts or Short top from the Department level to Section level under the same Division.

Similarly, he cannot raise a Section (Upper or Tops) to Division level (Gents / Ladies) as there are Departments (T-shirts / Short top) in their respective Section. Similarly Departments cannot be raised to a different hierarchy level, if Article exists under selected Department.

But user can definitely put T-shirts under any Section (other than Upper) irrespective of which Division it is under. Similarly, Tops can be put under any Division (other than Ladies).

4. Can we create an Article or Item without Group Hierarchy ?

Ans - No, we cannot create an Article or Item without Group Hierarchy. We have to specify them as they are mandatory fields and cannot be left blank.


5. Can we update HSN Code Via Group ?

Ans - Yes, we can update HSN code via Group through Edit properties option.


6. What is significance of Group/Section/Department sequence?

Ans-  The significance of Group/Section/Department sequence is to keep the items in a classified manner to help generate intelligible reports.


7. In Group properties Under General Category - what is the use of Alias?

Ans -  Alias is another name for the entity it denotes and it is used for reference purpose like if the Division/Section/department name is too large, an abbreviation in the Alias may be useful.


8. In Group properties Under General Category - what is the use of HSN?

Ans - HSN is used so that GST can be globally accepted. It also helps in systematic classification of Goods worldwide.


9. In Group properties Under General Category - what is the use of Tax Group?

Ans - Tax Group is a collection of tax slabs as defined in the tax rates. So for Tax Group "VAT" there may be various Tax Rates (5%, 10% and 12%) for different items. So while creating the Tax Rate Master, users may create a VAT5, VAT10, VAT12 individually although they will all be under the VAT Tax Group

10. In Group properties Under General Category - what is the use of Excise Tariff form?

Ans - It is necessary for capturing the exact amount paid against Excise. 

11. In Group properties Under General Category - what is the use Of Image Convention?

Ans - Image Convention is use so that items can be identified easily. Identifying an item by its name, category, Barcode or Description can be difficult sometimes but a image can be recognized by all.

12. In Group properties Under Inventory Category - what is the use Of Negative stock Alert Method?

Ans - Negative Stock Alert method is used for giving alert message whenever there is an insufficient stock .User can set it as Profile, Ignore, Warning, Stop.

13. In Group properties Under Inventory Category - what is the use Of Material Type?

Ans - Material Type is what type of material of an item will be. It can be three types - raw Material, Semi Finished Goods and Finished Goods.

14. In Group properties Under Inventory Category - what is the use Of scan unit?

Ans - Scan Unit is the quantity that is displayed when a single unit of an item is scanned. So if an item has scan unit 2 then for every unit of that item when scanned will increase the item quantity by multiples of 2. 

15. In Group properties Under Inventory Category - what is the use of UoM?

Ans -  unit of measure (UoM) is defined as the standard units of estimation used when considering inventory, and showing them in amounts or values. It gives clarity to the type of thing being measured like length or thickness is measured inches or feet or metres but liquid substances are measured in liters (l) or cubic centimetres (cc).

16. In Group properties Under Inventory Category - what is the use of Extinct?  

Ans - Extinct indicates that the particular site is closed. If any site is marked as Extinct that means no stocks or anything will be allocated to that site.

17. In Group properties Under Barcode Management Category - what is the use of "For Change In season"?  

Ans - "For Change In season" is used to know whether the new barcode is needed for the particular item with the Season change or not.

18. In Group properties Under Barcode Management Category - what is the use of "For Change In standard rate"?

Ans - "For Change In standard rate" indicates whether the Barcode will be same or not for the particular item when there is any change in Standard Rate.

19. In Group properties Under Barcode Management Category - what is the use of "For Change In Vendor"?

Ans - "For Change In Vendor" option is for to know whether new barcode is need or not when there will be any new vendor.

20. In Group properties Under POS behavior Category - what is the use of "Multi price action"?

Ans - An item can have multiple price at a site, this may happen due to same item of different lots being present at the POS at the same time or if promotions applicable on the item etc.  "Multi price action" option is provided to ensure that if the item has multiple prices then how would those prices be applicable on the item at the POS. In other words, if the item is selected for sale then from where it would take the prices for the item.

Popup Price from list - The price would be selected by the user from the list provided by a popup on scanning of the item.

Apply Last Price from list - The last price from the list provided  by a popup or scanning of the item would be selected by the user.

Apply Price from Master - The price would be selected by the user from Item master.

21. In Group properties Under POS behavior Category - what is the use of "Allow price Change"?

Ans - "Allow price Change" - this option allows user to change the price of a particular item when the old price of that item got extinct.

22. In Group properties Under POS behavior Category - what is the use of "Edit Qty and Price"?

Ans - Currently, "Edit Qty and Price" is not available in the application. However, similar functionality is available through "Auto Qty Popup". In situations where UOM is not pieces, it is easier to Scan the item and manually provide the quantity. For example - In case of unstitched cloth and non-packaged cereals and other items sold by weight. 

23. In Group properties Under POS behavior Category - what is the use of "Price change Limit in %"?

Ans - If "Allow price Change" is selected as 'Yes'. Then "Price change Limit in %" field will be applicable. This field allows user to set the limit of Price change in '%'. 

24. In Group properties Under Attribute Prompts what is the use of "Prompt" & "Mandatory"?

Ans - 'Prompt' is the Attribute's name which will be showing for an item. If 'Mandatory' is set to Yes then the Attribute will be a required field. For example - If 'Prompt' is named Size and 'Mandatory' is set to 'Yes' then Size of the item will be required to create an item.

25. How to create Group Hierarchy and up to how many level?

Ans - To create Hierarchy, User have to go to Inventory > Product Definition > Item Hierarchy > Group. User will get an Add option after right click.

          User can create up to 3 level which is Division > Section > Department.

26. How To Define Category Prompt Like cat01= Design No. Cat02 =Size Cat03 =Brand etc.?

Ans - a. Go to Inventory > Product Definition > Setup > Category.

          b. Click on Add.

          c. Set the Category Name (For example - category 1= Design No., category 2 =Size ; category 3 =Brand)

27. How to create multiple Article rather than auto created Article?

Ans - User can create multiple Article by Excel Import.

28. How to define Attribute Master for different Article?

Ans - a. Go to Inventory > Product Definition > Setup > Attribute.

          b. Click on Add.

          c. Set the Attribute Name.

29. How to set up image convention in the group?

Ans - How To: Set Image Convention of an Item

30. How to change article groups?

Ans - Go to Inventory > Product Definition > Item Hierarchy > Group. Then right click on a particular option and user will get 'Change Article Group' option.

31. How to update HSN at group level?

Ans - Go to Inventory > Product Definition > Item Hierarchy > Group. The go to 'Edit Group Properties'. Here user can update HSN Id.
