Adding & Editing Groups in the Inventory Group Master

The Inventory Group Master provides the basic three (3) tiered item definition in Ginesys. Items cannot be created in Ginesys without defining it in terms of these groups. This article shows how Inventory Groups may be managed in Ginesys.



Impact of Batch/Serial functionality on Item Batch View

  • Addition of New Action in Item list view page

    • Name - Batch/Serial Details

    • Nature - Do not depend on role-app operation

    • Behaviour of action in item list view page

      • If no Item is selected, system will restrict and display the following msg - "Please select an Item to View Batch."

      • If selected item’s Inventory Management is Item wise, system will  restrict and display the following msg - “Inventory for selected Item <barcode> is neither Batch / Serial wise managed. Unable to view.”

      • If valid item selected, then it will open Batch/Serial Detail window.

  • Provision of Batch/Serial Window from Item Master (Edit mode only)

    • New button has been added

      • Name -‘Batch/Serial Detail’

      • Position - Left corner of the form footer

      • Behaviour - It will be displayed only if for the selected item’s Inventory Management is Item wise.

  • Provision of Batch/Serial Window from Manage item window

    • Add new option in Manage item’s Three dot option popup

    • Grid & Section level Details:

      • The window will have a view of all the Batch/ Serial details for the selected Item.

      • If user does not have Edit Batch/Serial app operation in his role, then this grid becomes view only.

      • Item Details Section: (View only)

        • Field Details:

          • Barcode: Barcode, if not present then ICODE of an item

          • Item Name: To display Item Name specified for the selected item. If Item Name is not defined, then concatenation of all category values to be displayed, separated by a space.

      • Batch/Serial Details (Grid): (Modification allowed)

        • The grid contains all the Batch/ Serial details for the selected item

        • Multi selection provision required

        • Search records tool required

        • Sorting, Searching, Filter option on all column to be provided

        • Row add or delete option not required

        • The grid to have columns as mentioned below:

          • Batch/Serial No. (Default view: Yes | Hideable: No)

          • Created On (Default view: Yes | Hideable: Yes)

          • Mfg. Date (Default view: Yes | Hideable: Yes)

          • Valid Upto (Default view: Yes | Hideable: Yes)

          • Std. Rate (Default view: Yes | Hideable: Yes)

          • WSP (Default view: Yes | Hideable: Yes)

          • RSP (Default view: Yes | Hideable: Yes)

          • MRP (Default view: Yes | Hideable: Yes)

          • Stock Qty. (Default view: Yes | Hideable: Yes)

        • By default, the view is arranged in descending order of the 'Created On'.

        • Stock Qty column value is hyperlinked. On clicking the option opens a small display box - Sitewise Stock. (discussed below)

        • Grid/Field level validation:

          • Auto generated Batch/Serial number cannot be modified, but other information can be changed for those Batches/Serials.

          • When modifying Batch/Serial no., user can’t feed same Batch/Serial no. already present in the grid.
            ”Entry with same batch/serial no. is already present in the grid, please change batch/serial no. and try again” [OK]

      • Action Buttons:

        • UPDATE:

          • Applicability: If user role has permission for Edit Batch/serial then enable button else disable

          • On update: update and save the changes for item’s batch/serial
            Tech Note: Update the values in DB.INVBATCH_SERIAL

        • CLOSE: Do nothing, close the window and take user back to previous window

  • Site wise stock Details Window

    • Purpose of the window: This is a view only window that will display site wise stock for the particular item’s batch. Site may have positive/negative stock for a respective batch, because negative stock could be allowed for batch applicable items.

    • Window Details:

      • At the top of the view Barcode and Batch No. of the selected Item. are displayed.

      • Columns are available - Site Name, Short Name, Closing Stock.

        • No column can be hidden.

        • By default, the view will be arranged in alphabetical order of Site Name.

        • Only Sites of the connected OU will be displayed.

        • Only site with batch stock <> 0 will be displayed

        • Closing Stock will be displayed up to 2 decimal places.

        • Clicking on Close [X] or anywhere outside the box closes the view.



Prerequisites

  1. The users' role must have access to the Add app operation in the Group feature in Inventory - Product Definition - Item Hierarchy through Roles in Ginesys Web - Admin - Security.

Step-by-step guide

The steps are as follows:

  1. Go to Ginesys Web > Inventory > Product Definition > Group. The Item Group master opens.

  2. To add a new division, follow the steps below:

    1. Right click on Root and click on the Add New Division option.

    2. The new division will appear. Enter the name as per your need and press Enter.

  3. To add a new section, follow the steps below:

    1. Right click on Division you want to create a new section in and click on the Add New Section option.

    2. The new section will appear. Change the name as per your need and press Enter.




  4. To add a new department, follow the steps below:

    1. Right click on Section you want to create a new department in and click on the Add New Department option.


    2. The new department will appear. Change the name as per your need and press Enter.






Prerequisites

  1. The users' role must have access to the Edit app operation in the Group feature in Inventory - Product Definition - Item Hierarchy through Roles in Ginesys Web - Admin - Security.

Step-by-step guide

The steps are as follows:


  1. Go to Ginesys Web - Inventory - Product Definition - Item Hierarchy - Group. The Item Group master opens.


  2. Right-click on the Division / Section / Department name you want to edit and click on the Edit Properties option. The Edit Properties window will open.















  3. In the Group Name column, once again select  the section / sections you want to modify.


  4. The changes are to be made in the Edit Group Information section (on the right-hand side).

























  5. Once done, click on the Update button.


  6. Then click on the Close button. 




Group hierarchy can be modified after Article creation in Bulk

 Group Hierarchy can be modified after Article Creation in Bulk. User can open the Article in Edit mode and modify Department Name and according to that the Section and Division will be re-populated. After saving the entry Group Hierarchy will be automatically modified. Similarly if you try to modify any other group (i.e. Section or Division), it cannot be done as those are auto populated fields and manual entry is disabled there.

Article 1 can be identified as Gents - Upper - T-shirts and  Article 2  can be expressed as Ladies - Tops - Short top. Both have been created by Excel import. 

Now, the user can if he wants - open any of the articles individually and modify the Department (T-shirts / Short top) to some thing else and accordingly the respective Sections (i.e. Upper and Tops) will change to some other value and correspondingly the Division name (i.e. Gents and Ladies) would change.

However, the user cannot change Section or Division in the same.



We can't increase the Level of Group Hierarchy

Level of the Group Hierarchy cannot be increased. However, we can transfer any particular Section to another Division and any Department to any other Section.

The user cannot raise T-shirts or Short top from the Department level to Section level under the same Division.

Similarly, he cannot raise a Section (Upper or Tops) to Division level (Gents / Ladies) as there are Departments (T-shirts / Short top) in their respective Section. Similarly Departments cannot be raised to a different hierarchy level, if Article exists under selected Department.

But user can definitely put T-shirts under any Section (other than Upper) irrespective of which Division it is under. Similarly, Tops can be put under any Division (other than Ladies).
