How To: Create Credit Notes or Take Deposit in POS / POS Back Office

Often the customers make deposits or return purchased items, in such cases it is customary to raise Credit Notes against such deposits or item returns. This article will tell you how to create Credit Notes or take deposits in POS.

Credit Notes can also be raised from the Back Office by following the same process from POS Back Office by going to POS Back Office - Transactions - Deposit/Refund.

Pre-requisites

  1. The users' role must have access to the Deposit feature in Admin - Security - Roles (Cashier etc)- Access Rights - Normal POS.

    In case of taking deposit from the Back Office, the users' role must have access to the Deposit / Refund feature in Admin - Role - User Role - User's role (Cashier etc) - Access Rights - Back Office - Transaction.

  2. Document Numbering Scheme for Credit Notes must exist.

  3. Credit Note as an MOP needs to be assigned to the POS.

  4. Customer tagging is mandatory.

Step-by-step guide

The process is divided in following steps:

  1. Go to Tasks button or press F5 key.

  2. Then click on Take Deposit option. This opens the Deposit/Adjustment window. 

  3. Click on the Browse button to look for the name of the customer who is depositing the amount. The Customer Lookup window opens up.

  4. Select the name of the customer from the list and click OK

  5. Now, go to the Mode of Payment option and select the customer's chosen payment mode. The customer may choose Credit CardCredit Note Received, Redemption Token, Cash, Gift Voucher or Debit Note Adjusted.

    Important

    Note: You may also use a Credit Note which was previously issued to the customer, to increase the validity of the soon-to-be-expired Credit Note or the customer may want to create a Credit Note of a bigger amount by adding to the amount deposited through a previous Credit Note. 

  6. Now click on Issue Credit Note and Save option.

  7. On successful generation of the bill, a message is shown with the newly created Deposit Bill Number

  8. Click on OK.

Note: One Marker is added to the credit note number in the Customer Outstanding Statement report if the issued credit note is Global.


Note: Customer can redeem the global credit note from any store only after completion of the Sync process from store to HO and HO to other stores.


Note: Only Credit Notes which are valid, and neither expired nor voided, are displayed in the list.

Note: Session Tracking is enabled for Take Deposit.
